Job Summary

The Order Management Specialist is responsible for managing the end-to-end order fulfillment process, ensuring accurate order entry, shipment coordination, customer communication, and timely delivery of products. This role works closely with Sales, Logistics, Manufacturing, Finance, and customers to ensure seamless order execution while maintaining high service levels and operational efficiency.

Key Responsibilities

• Create and manage customer sales orders in SAP.
• Coordinate with plants, logistics providers, freight forwarders, and customers to ensure on-time order fulfillment.
• Monitor order status and proactively resolve delivery or shipment issues.
• Create shipment bookings and review shipping documentation, including Bills of Lading.
• Coordinate shipment schedules with customers, carriers, and internal stakeholders.
• Support payment follow-up activities and update collection status in SAP.
• Prepare and manage export documentation required for international shipments.
• Support credit management activities and customer account reviews.
• Generate operational reports and perform issue resolution activities.
• Maintain accurate records and ensure compliance with company procedures and international trade requirements.

Required Qualifications

• Bachelor’s degree in Business Administration, International Trade, Logistics, Supply Chain, Engineering, or related field.
• 2+ years of experience in Order Management, Customer Service, Logistics, Export Operations, or Supply Chain.
• Experience working with SAP SD.
• Advanced knowledge of Microsoft Office, particularly Excel.
• Experience coordinating cross-functional stakeholders.
• English proficiency (written and verbal).

Preferred Qualifications

• Experience in export/import operations.
• Knowledge of international trade regulations and Incoterms.
• Experience handling Letters of Credit and international payment terms.
• Experience in manufacturing, industrial, or global supply chain environments.

About the job

We are currently looking for a proactive, action-oriented and highly motivated person for Order Management.

This position will be based at Mexico

Your tasks will include:

1. Responsible for entering sales order in SAP as per information from sales.

2. Co-ordinate & follow up with Plants for required readiness date, Transportation, Forwarder, Customer & Sales for smooth supply of materials.

3. Create shipment bookings, check Bill of Lading and coordinate with customer, sales and forwarder

for required shipment dates and solve various shipment related issues as and when required.

4. Co-ordinate with sales and customer for payments and arrange for payment settlement for all orders

and update Collection Management in SAP.

5. Arrange & prepare export shipping documents required for clearing material and submit to banks.

6. Analyze customer’s credit worthiness & apply Internal credit limit in SAP.

7. Various reports & trouble shooting as part of the process.

Skills and Attributes:

• SAP SD Knowledge is must.
• Experience with background in Export/Import/Logistics
• Basic knowledge in MS Excel, MS Word, Handling Letter of credit.
• Basic understanding of Mathematics, like Unitary method, percentage calculation, basic calculation rules.
• Good communication skill, patience in handling customer requests.
• Ability to manage a variety of cross-functional team members.
• Excellent written, verbal and presentation skills
• Excellent organizational and follow-up skills
• Competent in problem solving.
• Well versed with international trade, incoterms and payment terms
