About the Role

 

We are looking for an experienced Team Assistant to provide comprehensive support to the C-suite’s office. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.


Key Responsibilities

 

Provide team support to the C-suite’s office, including and not limited to:

  • Travel Coordination: Plan itineraries and logistics for meetings and travel, ensuring sustainable travel choices; manage visa applications and related documentation.
  • Stakeholder Liaison: Working closely with the Chief of Staff and primary Executive Assistant to ensure the C-suite is prepared for all engagements and administrative arrangements.
  • Expense Management: Monitor and process expenses and invoices using online systems.
  • Diary Management: Assist in managing calendars across multiple time zones to optimize productivity.
  • Team Support: Assist primary Executive Assistant, including cover of holiday and sickness.
  • General Administration: Handle and manage ad-hoc administrative tasks.

Requirements

 

  • Minimum 5 years of experience as an Executive Assistant or Team Assistant supporting C-Suite executives.
  • Strong organizational and time-management skills with the ability to prioritize effectively.
  • High level of professionalism and discretion in handling sensitive information.
  • Good understanding of various time zones.
  • Excellent communication skills; comfortable interacting with senior stakeholders and clients.
  • Proficiency in Microsoft Word, PowerPoint, Excel, Outlook; experience with Egencia (or similar travel platforms) Concur and Replicon preferred.
  • Ability to support technology-enabled meetings (e.g., Teams, video conferencing).
  • High attention to detail and accuracy.
  • Flexible and proactive, with the ability to work independently and adapt to changing priorities.
  • Requires flexibility to work across time zones while supporting the executive during travel.
  • Excellent verbal and written English skills.
