Executive Support & Team Lead
About the job you’re considering
Based in a busy environment in St Paul’s office, you will be providing in-depth executive support to a member of the Business Unit Executive Board plus another VP. You will be working alongside other executive assistants, some based in St Paul’s and some remotely. As an EA Team Lead you will be responsible for overseeing the EA team to ensure seamless and proactive support for senior leadership, to coordinate logistics (conference rooms, desks), and ensure effective communication between EAs and their VPs.
Hybrid working: The places that you work from day to day will vary according to your role, your needs, and those of the business; it will be a blend of Company offices, client sites, and your home; noting that you will be unable to work at home 100% of the time.

Your role
- Act as the first point of contact for EA team members for support, prioritisation, and problem-solving.
- Conduct regular team check-ins to align on priorities, changes, and company updates and onboard and train new EAs joining the team
- Oversee room bookings and desk allocations for senior executives, including planning for on-site and hybrid working arrangements.
- Act as liaison with workplace/facilities teams for VIP requirements.
- Supporting C-suite or senior executives in a fast-paced, high-growth environment and providing strategic and proactive administrative support to C-level executives : calendar management, travel & logistics, meeting coordination, communications, submit and track expenses.

Your skills and experience
- Executive Assistant experience, with in a Team Lead role and experience supporting C-suite or senior executives in a fast-paced, high-growth environment.
- Strategic and proactive administrative support to C-level executives (: calendar management, travel & logistics, meeting coordination, communications, submit and track expenses)
- Strong leadership and interpersonal skills; ability to motivate and guide a team.
- Proficient lead and manage a team of Executive Assistants and handle confidential information with discretion and professionalism.
- Strong organisational skills, including good time management skills and responsiveness, strong attention to detail and proactiveness.
- Must have experience with Software Tools like and MS Office, MS Outlook and Calendar, Microsoft Teams
