Job Description

The SAP VIM Consultant is responsible for implementing, supporting, and continuously improving the Vendor Invoice Management platform.

He/she ensures the proper functioning of incoming invoice flows (including e‑invoicing), resolves process and data blockages, maintains consistency with SAP Financial Accounting (FI‑AP), and supports business users in adopting best practices.

Responsibilities

1. VIM Incoming Flow Management

  • Monitor and optimize incoming VIM invoice flows, including e‑invoicing integrations.
  • Ensure data consistency across all connected systems.
  • Maintain and adjust SAP configurations related to document processing flows.

2. Integration with SAP Finance (FI‑AP)

  • Analyze, maintain, and troubleshoot the interactions between VIM and FI‑AP.
  • Manage mappings, validation rules, and accounting data integrations.
  • Collaborate closely with Finance/AP teams to ensure accurate and automated posting processes.

3. Blocked Document (IDs) Management

  • Monitor blocked IDs within VIM and FI‑AP.
  • Identify root causes related to data, processes, workflows, or interfaces.
  • Implement corrective actions and propose improvements to avoid recurrences.
  • Coordinate issue prioritization with business stakeholders.

4. Approval Rules Configuration

  • Define and maintain invoice approval rules and workflows.
  • Manage the Chart of Authority (CoA) and related approval thresholds.
  • Set up and maintain delegate and substitute approvers.
  • Ensure workflow rules accurately reflect organizational structures and internal policies.

5. Client Support & Business Relationship

  • Deliver Level 2/3 application support, including detailed analysis and solution design.
  • Facilitate workshops with Finance, Procurement, and AP teams.
  • Build and maintain a strong relationship with a client who has high expectations.
  • Communicate clearly, proactively, and diplomatically to manage priorities and expectations.

6. Continuous Improvement

  • Identify opportunities for process automation, simplification, and stability improvements.
  • Participate in SAP/VIM enhancement projects (upgrades, new features, new flows).
  • Maintain up‑to‑date functional documentation (process flows, training materials, manuals).

Required skills

Technical Skills

  • Strong expertise in SAP VIM.
  • Solid understanding of Accounts Payable / Procure‑to‑Pay processes.
  • Proven experience with SAP FI‑AP.
  • Good understanding of VIM workflows, rules, and cockpit functionalities.
  • Familiarity with e‑invoicing technologies (IDoc, OCR, PEPPOL, API-based integrations, etc.).
  • Strong analytical and troubleshooting skills for process blockages.
